Marketing Specialist/MLR Coordinator

Manage forecasting and planning of promotional materials through internal review process (with input from Project Champions)
o Develop and update annual, quarterly, monthly and weekly plans

Annual (high-level) plan, based on brand plans
Quarterly plans (refreshed monthly), to be reviewed during quarterly planning meetings, with all relevant functions (set meetings every quarter)
Weekly review meetings, with brand and channel teams (estimate time to complete review of materials; adjust agendas to accommodate schedule changes; prioritize/reprioritize review items based on business needs)
Attend brand planning and strategy meetings as needed
o Ensure adherence to timelines for submission of materials into internal review
o Limit late additions to weekly agenda to exceptions only
o Partner with brand and channel teams to ensure tactical plans are executed

Manage flow of promotional materials through MLR(Review Approval Cross-functional Team) ensure adherence to company SOPs
o Chair live meetings and ensure review committee time is used efficiently
o Actively facilitate live MLR meetings and ensure focus on key issues, with the goal of bringing the group to consensus (keep reviewers on subject; manage meeting time constraints; minimize side discussions)
o Monitor progress of offline reviews

Facilitate development of materials going through Promomats
o Receive and distribute review materials via electronic workflow system (Promomats)
o Pre-review assigned promotional material in an electronic review system
o Work with outside advertising agencies on day-to-day operations (ensure accurate preparation of OPDP preclearance submissions if needed, lead weekly status meetings, in collaboration with Production)
o Clarify, review and reconcile comments on review materials during live MLR meetings via Promomats & ensure that approval stamps from MLR reviewers are applied
o Document the outputs of meetings in promomats
o Proofread copy to ensure all MLR comments have been incorporated
o Final QC review and approval of l material; preparation of submissions to OPDP for preclearance and initial use (Form FDA 2253) if needed
o Archive materials and manage annual reapproval process
o Ensure interface with our client and Agency production departments

Manage review tool (Promomats) and related functionalities
o Manage progress of documents throughout workflow
o Ensure appropriate and efficient leverage of tool during meetings
o Resolve technical challenges for Promomats users
o Trouble-shoot bottlenecks in workflow

Solicit feedback/provide recommendations for improving MLR effectiveness
Consolidate quarterly metrics to provide self-evaluation opportunity to the team
Execute special projects as required by management

Manage and coordinate production of materials with agency and print team
o Manage production timelines of offline materials
o Coordinate kick off meetings and status with agency and print team
o Track delivery and status of production and elevate risks of missed timelines

Skills/Knowledge Required:

BA/BS Degree, preferably in Business Administration or Marketing
Highly motivated self-starter with strong project management skills and ability to perform/prioritize tasks in a fast-paced environment with limited supervision
Knowledge of Adobe Acrobat commenting tools
Proficiency in Microsoft Office
Experienced with proofreading technical documents
Working knowledge of pharmaceutical advertising submission requirements
Working knowledge of FDA promotional regulations a plus
Exceptional attention to detail is critical for this job
Expert listening skills and ability to probe for undisclosed information
Excellent interpersonal skills. Accurate and concise oral communications and writing ability
Excellent organizational and time management skills
Ability to multitask and meet strict deadlines
Must be able to innovate, analyze and solve problems
