  • Sr. Coordinator Facilities
    AA / AS degree or acceptable combination of education and practical experience
    Minimum 5 years of Contract coordinating / planning experience, preferably in a biotech environment.
  • Experience in coordinating outside contractors in support of facility operations, maintenance and ancillary systems
    Familiarity with FDA / cGXP environments and associated compliance regulations
    Provides business process and administrative task execution for contract and budgetary management, procurement system, and documentation.
    Supports Facilities operating budget within target goals and drives the forecasting of project, capital and expense budgets. Estimates, reports and manages to a site expense and capital budget.
    Supports Facilities operating budget within target goals for all contracted services and expenses
    Creates and enters requisitions/purchase orders with pertinent information and attachments
    Process invoices as required
    Tracks and reconciles departmental invoices and payments
    Develops and manages budget tracking and reporting system including monthly over/under reporting
    Coordinates the facility capital and expense forecasting process
    Submits new vendor submission documents or current vendor revisions to Finance
    Prepares check requests as needed
    Manages vendor scope of work, proposals and inquiries
    Performs contract management including scope of work, cost assessment, and documentation.
    Collaborates with Legal and Strategic Sourcing to ensure corporate and vendor contract terms are met
    Reviews monthly metric reports and monitors and evaluates department operational targets. Creates action plans as required
    Coordinate and complete document creation, revision, or including, but not, limited to guidance, reference, or other non-GMP documentation as required.
    Coordinate and complete GMP document creation or revision for GMP documentation within the applicable Document Management System
    Coordinate, manage and track all facilities related documentation, including regulated and non-regulated sources.
    Coordinate contractor training program and participation of vendors/contractors.
    Coordinate large scale or departmental training activities as required.
    Add, remove and update user information
    Run weekly and monthly reports on user training status
    Prepare, sign off on all training system user changes
